Your new office equipment arrives, it's installed and ready to go. However, something strange starts to happen. Instead of being more productive and efficient, your office has somehow become less productive. This new technology was supposed to make improvements, wasn't it?
Employees and MPS Training
People tend to do as they've always done. Now that you've purchased a multifunction printer, capable of doing things your previous printer could only dream of, you want your employees to utilize the new capabilities. Unfortunately, unless they've been trained properly, your employees aren't going to realize the new machines full potential. Instead, they may remain focused on using the machine in the same old way and not using the new machine effectively.
Here’s a quick example of this – some machines are capable of scanning documents directly to email, saving precious minutes. However, if your employees don't know that the machine has this feature, they're going to scan documents as they did before which could be a much slower process. As a service provider, we want to ensure your employees are trained so they can unlock the true potential of your printing solutions.
The MPS Training Timeline
The first step in employee training is to identify your business’s key operator. This person will become the go-to person for your office. When you have employees with questions, they'll know who to ask, and not go desk to desk to find someone who can help. Your key operator will ideally be someone who interacts with office equipment on a daily basis, someone who likes learning about technology, and someone who will use the new equipment in a wide variety of ways.
While all of your staff may receive some basic training, your key operator will receive the most in-depth look at all of the new equipment and its capabilities. After they receive their MPS training, they will be familiar with the equipment and its features and functions. This level of training ensures that your business is utilizing the full benefits of your printing equipment.
MPS Training Variations
The amount of training required depends on the breadth of the solution purchased. For example, if your business is purchasing a series of new printers that are similar to your old ones, your key operator and your staff won't need as much training. However, if you're solution involves an entire fleet of a new type of equipment that they are unfamiliar with, they’re going to require much more training to be efficient. Our goal is to ensure that you're able to utilize your printing solution to its full potential, rather than using new equipment in the same old ways your employees are comfortable with.
Dealing with Problems
Naturally, anytime an office switches to something new, there's going to be an adjustment period. While we provide MPS training to prevent frustrations from occurring, there is likely to be times when you'll run into a “how do I…” question. Your first step will be to go to your key operator. But what if your key operator doesn't have the answer?
That's when you turn to the help desk. As part of our printing solution packages, we offer a dedicated help desk that lets you and your key operator connect with a team of experts that can walk you through the solution to any problem or question you might be facing.
MPS Training and Your Business
Ultimately, printers, copiers, scanners and fax machines are simply tools. And like any tool, they're only as good as the person using it. Our MPS training ensures that everyone in your office will be able to unlock the full potential of your printing solution. Increase your print fleets’ potential or uncover ways to improve your business operations through the right equipment and training by beginning with an assessment of your current print environment.
